Export Instructions for Soil Samples

Exporting soil samples for microbiome analysis requires strict adherence to international shipping regulations to ensure your samples clear customs and arrive at the lab with biological integrity. Improper documentation or packaging can lead to samples being held by customs, which risks degrading the DNA needed for accurate BeCrop results.

Exporting to the European Union (Spain Lab)

1. Prepare Samples

Collect soil according to standard BeCrop protocols and ensure all containers are sealed airtight.

2. Organize Metadata

Complete the metadata Excel sheet, ensuring the field ID, sample reference, collection date, crop type, and coordinates are included.

3. Assemble Documentation

  • Print the Spanish Soil Import Authorization provided by the Biome Makers team.

  • Complete the Proforma Invoice provided by your courier.

  • Use the international Tariff/HTS Code 250590 for soil samples.

4. Package for Security

Place individual vials into a larger, sealed waterproof bag to prevent leaks.

5. Label and Ship

Affix the Spanish Soil Import Authorization and courier labels visibly to the outside of the package.

Exporting to the United States (USA Lab)

1. Mandatory Consolidation

Place each sample in a coded tube or sealed bag, then consolidate all samples into one larger, waterproof sealed bag. US Customs will hold any shipment that is not consolidated.

2. Prepare Metadata

Fill out the metadata Excel sheet with the required field ID, sample reference, collection date, crop type, and coordinates.

3. Assemble Documentation

  • Attach the USDA PPQ 550 label (one unique label per package) to the outside.

  • Include two copies of the USDA P330 permit (one inside, one outside in a pouch).

  • Generate a Commercial Invoice labeled as No Commercial Value.

4. Shipping Details

Use Tariff/HTS Code 2703.00.0000 and ensure all duties and taxes are billed to the shipper.

5. Ship Immediately

Aim for 1- or 2-day shipping so samples reach the lab within 5 days.
